How we use your information

Where information is to be shared across organisational boundaries on a regular basis information sharing protocols or agreements should be in place between all of the sharing parties involved. These documents are known by various different names, e.g. Information Sharing Protocols/Data Sharing Agreements/Information Sharing Arrangements. 

The Trust adopts a three tiered system:

Tier 1 Overarching Information Sharing Framework. This is a high level agreement, in principle, to share information with partner organisations within the limits of law and guidance. Tier 1 documents are approved and signed by the organisational Chief Accountable Officer or equivalent. The Tier 1 document is underpinned by:

Tier 2 Information Sharing Arrangement – This sits under the Tier 1 and outlines the parameters for sharing, what is to be shared, the purposes and legal basis for sharing. This document is agreed and signed by the Caldicott Guardian in an NHS organisation or non-NHS equivalent. This document requires completion before it can be agreed as the specific purpose has to be included.

Tier 3 Operational Arrangement – This sits under the Tier 2 and describes the day to day operational processes that ensure the sharing is carried out to good governance standards. Tier 3 documents are approved and signed by the Caldicott Guardians.

In addition, the Tiers are supported by extensive appendices, which set out appropriate legislation, regulations, guidance and standards.
